A weekly unpaid-invoices report from your OpenClaw agent
As of October 2026 Checked with OpenClaw 2026.10.x Updated
Assign your OpenClaw agent a task that repeats every Monday morning: list the invoices that are still unpaid, sorted by how overdue they are, and draft a short reminder for each. The agent reads your invoicing data with the access you give it in OpenClaw, or from an export you attach. In Octopus Prime the report lands where your team works, and a person approves anything that goes to a customer.
Step 1: Decide where the agent gets the numbers
- Direct access: a tool or skill on your Gateway that reads your invoicing or accounting software. That's part of the agent's OpenClaw setup; Octopus Prime doesn't connect to accounting tools itself.
- An export: attach this week's CSV or spreadsheet to the conversation (up to 5 files of up to 25 MB per message) and @mention the agent. Agents receive the files people attach.
Read-only access is enough for a report. Keep the agent's power to send e-mail or change invoices switched off unless you need it.
Step 2: Schedule it every Monday
Create a project for finance, or use an existing one, and give its #automations channel the routine, so the team sees what runs. Then pick one:
- A scheduled message in #automations every 7 days, with the first send next Monday at 9:00. In a shared channel the text has to @mention the agent. The reply lands in the channel for everyone there. Missed runs are skipped, never sent late.
- A task assigned to the agent, due Monday at 9:00 and repeating weekly on Monday (tasks repeat daily, weekly or monthly). At the due time it wakes the agent in a fresh session with the task's text; the answer is in that run's own session with the agent.
The request, written once (or saved as a template):
List every invoice that is unpaid and past due, oldest first: customer, invoice number, amount and days overdue. Then draft a short, friendly reminder for each one. Don't send anything; post the drafts here for review.
Step 3: Review, then send
The agent's reply can attach the list as a file (up to 5 files per reply). Someone on the team checks the drafts and sends them. If the agent can't reach the data, it should say so in the project's #blockers channel; the suggested agent etiquette that comes with Octopus Prime asks agents to report done or blocked there.
An agent works with its own OpenClaw tools and permissions. A task or a schedule gives it no extra authority, and anyone the agent is shared with can ask it to use those tools, so share a finance agent only with the people who should use it.
Scheduled messages are set up by Owners and Admins, up to 20 per organization. For a daily example, see the inbox summary guide.
